Core Coaching Society
This policy explains what personal information Core Coaching Society collects from you, why it is collected, who it is shared with, where it is kept and what you can do about it. It is written in plain language on purpose. If anything in it is unclear, ask and it will be explained.
Core Coaching Society is an online fitness coaching business run by Katie Alexander as a sole trader in Queensland, Australia. Coaching means being told things that are personal. Your weight, your measurements, your photographs, your injuries and what you eat are not ordinary customer details, and they are not treated as though they were.
Small businesses under three million dollars in annual turnover are generally exempt from the Privacy Act 1988. That exemption does not apply to a business that provides a health service, and coaching that collects weight, measurements, progress photographs and medical history sits close enough to that line that this business assumes it is covered. This policy is therefore written to the Australian Privacy Principles whether or not the law requires it in any given year.

Nothing is collected covertly. Every piece of information below is either typed in by you or given to Katie during coaching.

Some of what a coaching client shares is health information, which is treated as sensitive information under Australian privacy law and held to a higher standard than a name or an email address. Health information is only collected with your consent, and consent means you chose to send it, knowing what it was for.
You are never required to disclose a condition, an injury or a medication. If you would rather not, say so. It only limits how specifically a plan can be written around you, and it will not stop you being coached.
Coaching is not medical care. Katie is not a doctor, a dietitian or a physiotherapist, and nothing collected here is used to diagnose or to treat you. Health information is collected so that a training and nutrition plan is safe and appropriate for the person following it, and for no other reason.

Your information is not sold, rented, traded or handed to anyone for their own marketing. That is not a policy that might change quietly. It is the whole point.

Running a coaching business online means using other companies to do parts of it. Each one below holds a specific slice of your information and nothing more, and each has its own privacy policy that governs what it does with it.

Information is shared with a person or a company outside this list only where you have asked for it, or where the law requires it.

Most of the services above are operated by companies based in the United States, and your information is stored on their servers, which may be located overseas. By using this website or being coached, you accept that your information is handled this way. Reasonable steps are taken to use established providers who state their own privacy and security commitments, but a business of this size cannot audit them, and it would be dishonest to claim otherwise.

Card numbers are never seen, entered, handled or stored by Core Coaching Society. Payment is taken through Newie using Stripe, and the only thing that comes back is confirmation that a payment went through, along with the receipt records a business must keep for the Australian Taxation Office.

You are added to the email list only if you asked to be, either by signing up for the free resources or by ticking the optional box on the application form. Applying for coaching on its own does not put you on a mailing list.
Every email carries an unsubscribe link that works immediately and without explanation. Unsubscribing from marketing does not affect the emails you need as a paying client, such as receipts, plan delivery and replies to your questions.

Progress photographs are for coaching. They are not published, posted, shared or used in marketing unless you have specifically said yes to that particular use, and a general agreement to be coached is not that permission. You can say no, and you can change your mind later and ask for something already published to be taken down.
The same applies to anything you write to Katie. A message is not a testimonial until you have agreed it can be used as one.

Accounts holding your information are protected with strong, unique passwords and two factor authentication wherever the provider offers it. Access is limited to Katie. Nothing about your coaching is discussed with another client, and your name is not used in an example without your permission.
No system connected to the internet is perfectly secure, and no honest business promises that it is. If a breach occurs that is likely to cause you serious harm, you will be told about it, along with the Office of the Australian Information Commissioner where the Notifiable Data Breaches scheme applies.

You can ask what is held about you, ask for a copy of it, ask for anything wrong to be corrected, and ask for it to be deleted where there is no legal reason to keep it. Email the address below. A response will normally come within thirty days, and there is no charge for asking.
Where records must be kept for tax purposes, that will be explained rather than used as a reason to refuse everything. Anything not caught by that requirement can still go.

This website does not set advertising cookies and does not run third party tracking or analytics. Nothing you do here is used to follow you around the internet. The macro calculator does its arithmetic in your own browser, and the numbers you type are sent to Katie only at the point where you press the button asking her to send you the result.
Fonts are loaded from Google Fonts, which means Google receives the technical request data that comes with loading a font file. The hosting provider records ordinary server request information, such as an IP address, as part of serving the page to you.

If you think your privacy has been mishandled, say so directly first, using the email address below. It will be looked into and answered within thirty days.
If the answer does not satisfy you, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, which is free and independent. You are not required to raise it here first, and doing so does not give up that right.

This policy is updated when the business changes what it collects or which services it uses. The date at the top of the page is the date of the current version. Where a change materially affects existing clients, they will be told rather than left to notice it.
This policy is governed by the laws of Queensland, Australia.
Privacy contact
Every privacy question, request and complaint goes to Katie directly. There is no ticket system and no team, which means the reply comes from the person who actually holds your information.
